ARTISTIC ADMINISTRATOR
Led by Artistic Director and Founder Lyn Williams AM, Gondwana Choirs is a Sydney-based, national choral organisation with a global profile, acknowledged as a world-leading youth choral organisation.
We are looking to welcome a dynamic new team member to the integral position of Artistic Administrator.
Working closely with the Artistic Director, Associate Artistic Director and the Choir Management team, the Artistic Administrator plays a crucial role in supporting the smooth and efficient running of the organisation.

Artistic Administrator – About the position
Principal Responsibilities & Duties
The key responsibilities and associated duties of the position fall into the following main areas.
Artistic Planning
- Collaborate with the Artistic Director to develop long-term and annual artistic plans.
- Facilitate the program planning process and associated meetings and ensure effective communication of plans to all relevant parties.
- In collaboration with Choir Managers and Executive Director develop and manage budgets for all activity including creatively finding solutions to budget challenges.
Artistic Relationship Management
- Build and maintain strong relationships with conductors, accompanists, composers, and other artistic staff.
- Facilitate clear and consistent communication with all artistic staff, artists and collaborators.
- Manage contracts and negotiations with artistic staff and external collaborators and presenters.
- Manage the commissioning of works with composers.
- Develop and nurture partnerships with external stakeholders
Concert Production
- Manage booking of concert and rehearsal venues.
- Oversee all aspects of concert production, including stage. management, lighting, sound, and other technical requirements.
- Coordinate with production teams, venue staff, and external vendors to ensure smooth execution of performances.
- Develop and manage production schedules, load-in/load-out plans, and technical rehearsals.
- Ensure that all concert production elements meet the artistic and technical standards of Gondwana Choirs.
- Troubleshoot and resolve any production-related issues that arise during performances.
Position Requirements & Competencies
Essential
- Passion for choral music and commitment to the mission of Gondwana Choirs.
- Experience (at least two years) in a similar role.
- Ability to effectively organise and manage multiple tasks, projects, and deadlines in a fast-paced environment whilst maintaining a high level of attention to detail.
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with artists, staff, volunteers, and external stakeholders.
- Proficiency in using office software (e.g., Microsoft Office Suite, Microsoft 365) and willingness to learn new software and digital tools relevant to the role.
- Ability to work autonomously and with initiative whilst forming an integral part of a team.
- Excellent written and spoken English.
- A NSW Working With Children Check or ability to gain one.
Desirable
- Ability to read music.

The salary is $85,000 per annum plus superannuation, 37.5 hours per week.
